Often there is a relationship between Budgets and Analysis codes. To ensure accurate reporting it can be important to ensure that the correct analysis code is posted with the correct budget code. Linking an analysis code with a Budget Account is the best way to achieve this in Arbor Finance.
Setting up the analysis codes
- Before you start ensure you have created the Budget Accounts you want to link to the analysis code.
- Click the word Link to set up the Budget Accounts you want to link to.
- Select the Budget code to link to the analysis code from the list on the left and then click Add
- Repeat for all Budget codes you wish to add.
- To remove a Budget Account from the list highlight it and click Remove.
- When you have finished click Save.
Setting the options for linking an analysis code to a budget account
- Once you have linked all required Budget Account codes go to System > System setup.
- Click on the Options tab > Transactions.
- Scroll down the page to the Link analysis codes and budget codes options.
- There are three options available:-
-
-
- Off - no link
- Stop on error - this will prevent a mismatch in the Analysis and Budget Account being posted
- Warn on error - this will warn if there is a mismatch
- No warn/stop on error - this will show the linked lists when selecting a Budget code having selected an Analysis code but will not warn or stop if there is a mismatch.
-
Stop on error
In this example Budget code 1060 is linked to Budget Heading EE01 and the Analysis code Expend is linked to Budget Account 1060.
When analysis code EXPEND is used in a transaction the only available Budget code is the one linked to the EXPEND analysis code.
If a budget account entered is not 1060 then the error code is shown: 'Budget code hasn't been selected'.
Warn on error
In this case, there is a mismatch then a warning is given.
No warn/stop on error
In this case, no message is seen.
