Profile types

Expenditure often follows a predictable pattern over the course of a year. If you can make allowance for this pattern, you can monitor your budgets more effectively.

When budgets are allocated to budget accounts, Arbor Finance will force the allocation to be profiled. The budget profile splits up the annual allocation over 12 monthly periods to reflect the way you expect  the actual expenditure will be made. The profile doesn't affect the actual budget expenditure; it's just a useful tool for monitoring budget performance.

For example, if your school telephone  is charged quarterly in March, June, September and December, you can apply a profile that allocates 25% of the annual budget in each of those 4 months, and nothing in the other 8 months. You can then get reports to see how the budget is performing in relation to its profile.

Create a library of the profile types that apply to your school finances. You can then assign the appropriate profile to each budget account, instead of entering the information manually.

From the Records menu you can access the Budget records area; on the Profile types tab you can:

  • Find and view profile types
  • Create a profile type
  • Edit a profile type
  • Delete a profile type

To find and view profile types

  1. From the Records menu choose Budget records and click the Profile types tab.

  2. To find the profile you want, scroll through the list, or enter all or part of its name in the Quick search box and click Search.
  3. Click on the profile to select it.
    Information for this profile is displayed in the right panes, under Overview and Details.

To create a profile type

  1.  On the Profile types tab of the Budget records window, click Add.

  2. Enter a suitable Profile name for this new profile.
  3. Use the month fields (Month 1Month 2, …) to enter the percentages of the annual budget that you expect to be used in each month. These must add up to 100%.
  4. Click Save (or Cancel).

To edit a profile type

  1. On the Profile types tab of the Budget records window, from the Profile types list select the one you want and click Edit 
    The editable fields are shown in green type.
  2. Make any changes you require to the Month percentages and the Profile Name. The percentages must add up to 100.
  3. Click Save (or Cancel).

To delete a profile type

  1. On the Profile types tab of the Budget records window, from the Profile types list select the required profile.
  2. Click Delete and then Yes to confirm.
