Code Correction

Code correction is a useful tool which allows the user to amend the budget and/or analysis code for a transaction.

How to use Code Correction

Navigate to Transactions > Adjustments & reversals > Code Correction

Filter options in the Search for transactions section, allow you to search by voucher number, budget or analysis code.

Once you have found the transaction that you would like to update, highlight in blue and click Update. 
A pop up box will be displayed. Amend the budget/analysis code as required by deleting the code you no longer want and either typing the new code or using the magnifying glass icon to search through the list of codes. 
Note: If you have budget/analysis linking enabled you will be shown available codes as per your linking settings.

Once you have entered the relevant code/s, click Save. The below message will be displayed and you should click on Yes if you are happy to proceed. The transaction will then be updated with the new code/s.
If you do not want to continue with updating the transaction you can click No and then Cancel.

Some important points to note regarding Code Correction

Code correction is a very quick and convenient way to update a transaction that has been posted to an incorrect budget/analysis code and can be used as an alternative to reversing and re posting. However, there are a couple of points to note regarding code correction.

When reversing and reposting a transaction, the original transaction is linked to the reversal transaction and this detail can be seen in the detail view of the transaction in the enquiries screen which provides a clear paper trail of the correction. The reposted transaction is given a new voucher number and can be linked to the original using the description field. Code correction does not have this function as you are updating the original transaction and the voucher number stays the same. For reporting purposes the only way to tell a code correction has been processed is by the audit log.

Depending on the time frame that the original transaction was processed and the code correction completed, you may need to consider re running reports that are kept as part of your financial procedures.
