Importing Assets is a quick way to add Assets into Arbor Finance using a CSV file.
The sample file shows the fields needed and some examples of a tangible and non-tangible asset.
When using the CSV keep the first line and remove the explanations and the sample data.
Fields to import
- Name* - Asset name (Max 50 characters)
- Description* - Description of Asset
- Type* - Tangible or Intangible
- Subclass* - Subclass of asset from your list or if you add a new one it will be created on import (Max 3 Characters)
- Location - Location of asset from your list or if you add a new one it will be created on import (Max 8 characters)
- Serial Number* - Asset or contract serial number (Max 40 characters)
- Depreciation start - start date you wish to depreciate the asset from
- Number of years - number of years to depreciate the asset, must be a whole number
- Initial value - initial value of the asset (numbers only)
- Bought - Y or N
- Staff first name - first name of staff member to whom the asset is assigned or if you add a new staff member it will be created on import
- Staff last name - last name of staff member to whom the asset is assigned or if you add a new staff member it will be created on import
- Department - Department of asset from your list or if you add a new one it will be created on import (Max 8 characters)
- Supplier - short code of supplier - if this is not already created the import will fail (Max 8 characters)
- Goods received date - date good were received, which is different to depreciation start date
- Notice period - notice period in days for a contract (Max 180)
- Contract End Date* - The date for the end of a contract, mandatory for contract lines

Importing Assets
- From the Records > Assets menu click the import button on the right hand side
- On the next page you will see the following screen
- To see a sample file click the download an example file link in the top right hand corner. The help page can be accesses via the Help Guide link at the bottom of the screen.
- Once you have prepared the file (see above for the required fields) click Choose file to select your CSV file to be uploaded.
- Click on Open to load your file
- If the Header Row for your file is not the first line then enter the Header Row line number in the Header line no.
- If you have already saved a mapping for your file choose the mapping from the list.
- Click Start Import to load the file
- Now choose the column that contains your Transaction Types and click Next (if you have chosen a mapping then you can skip this step)
- If you have not already chosen a saved mapping, you can now map your file headings to the ones required by Arbor Finance. Note that only the ones with a * are mandatory.
- When you have finished enter a name for your mapping and click Save. This will remember your mappings for the next time.
- You will now be presented with a Validation summary report showing you which lines have passed validation, which have failed and any warnings.
- If there are any errors then you can either click the "See the summary report for full details including errors" to see the error details or Complete Import, and any lines with errors will be ignored.
- The report will give you full details of all errors in the file which need correcting before the line will be transacted. Once you have corrected your file go back to step 1. to reload it.
- Once you are satisfied with the file click Complete Import to upload your transactions.
- You will see a confirmation message that your file has been successfully uploaded.
