The CFR report and export tool can be found on the reporting menu.
You will need your mapping from the old CFR or a document that shows which Analysis/Budget codes map to which CFR codes.
Whilst you can enter values in the CFR tool, we strongly recommend using the mapping tool as this makes the next return easier as the mapping will be preserved.

- Start by loading the reporting area from the Reporting menu
- Click the CFR tab to start the report. The school data is taken from RM Finance online. If you want to update this then go to the System Setup page to do this then click Load Mappings to update in the CFR area.
- You can edit the email address or add multiple email addresses using a semicolon ";" to separate emails.
You only need to fill in the LA-Establishment codes if you are submitting a Federated submission
- Click the Income tab on the CFR report.
- To map your Budget/Analysis codes to a CFR code click the Unmapped button for that code.
- Use the drop down menu if you need to change to budget codes. To map a code, click on in to choose it (it will turn blue) and then click Add to map it
The selection options are as follows- Analysis codes – Map the Turnover YTD from an Analysis code to a CFR code
- Budget codes – Map the Turnover YTD from a Budget code to a CFR code
- Cashbook totals – Map Income or Expenditure totals to a code
- Bank Totals – Map Income or Expenditure totals to a CFR code
- Fixed Value – Enter a valueYou can hide codes in a certain state by unticking them below the code list e.g. Allocated codes.. Below we have unticked the Allocated codes. This is useful to see only the unmapped codes or codes which are under or over allocated.
You can sort any displayed field by clicking the header. In the example below we have sorted them by Sort Key. This makes it much easier to map codes to fileds if you have used Sort Keys or Budget Headings for CFR codes.
Clicking the the +/- to the left of the code will turn an added value to a subtracted value and vice versa.
- Note how the mapped analysis/budget code turns green to indicate it is fully mapped. Add more codes for that CFR code as need, You can select multiple codes by clicking on them. When you have finished click Save.
- The code state will now show up as Mapped. Repeat for all the Income, Expenditure and Capital codes.
- If you forget to map a code you can click the Mapped button and add it, or remove a code by clicking on it on the right hand side and clicking Remove.
If you want to enter data manually then you can do so by typing in a value. If you have mapped a CFR code that you wish to edit you can do so by enabling the 'CFR edit mapped fields' user permission.
Edit a mapped value:- To edit a mapped value, go to System - System Setup - User details and locate the 'CFR edit mapped fields' and give access to it.
- You can then edit a mapped value in the Income or Expenditure tab.
- When a mapped value is edited, the 'Override' column will update to 'Y'
- On the balances tab, you can either enter your own amounts or map codes accordingly. When you have finished, click Save and Continue to save the mapping for future CFR returns.
For most Budget or Analysis codes there will be only one CFR code mapping so you would leave the % at 100%. If you do need to spread the code across say 2 CFR codes then make sure that the % on each Budget/Analysis code entry adds to 100%. - Before you submit you can check the mapping via the CFR Mapping definition report on the right of the screen.
- Now click Submit.
- Depending on what you have entered you may see a some error screens. These are for information only and do not stop you running the report.
- To see the errors click No
- The errors are split into two sections, Errors and Queries. We recommend you fix the errors and review the queries.
- You can print off a list of the Errors and Queries using the report on the right of the page.
- To go to a specific Error or Queries you can use the View link at the end of each line.
- To put a comment against any CFR codes click the Pencil next to the code. It is a requirement to put a comment against query fields so there is a record of the reason for the query if you are not going to change it.
- When you have finished your changes, click Submit to create your CFR report. You will be reminded of including an explanation if you still have open Queries.
- Once on the Generate CFR file screen, choose the type of file you want to produce Interim or Final and to see the report click the Generate Report button.
- You will now see the CFR report
- Finally click Generate file to produce the submission file and save it in a secure location. We recommend changing the name of the file so it is clear which school it is from and what date you produced the file e.g. Oxford_Park_School_ID3456_27_03_18.
- Until you close the year (after Year End is run) you can return to the CFR to produce another report.
Looking at old CFR returns
You can load old CFR returns by using the Archives button on the right of the screen.
This will bring up a menu of old archives from which you can select the one you want to use by clicking on it and then clicking the Generate button.
Updating your CFR mapping
You may wish to update your CFR mapping in future years. This can easily be done clicking the Mapping buttons next to the CFR codes where you can then Add or Remove codes from the mapping. (see step 4 above).
Updating your mapping in a new Financial Year
The requirements for CFR change from year to year for instance codes can be split e.g. I08 to I08A and I08B. Where this happens the new codes will appear as unmapped. It is possible to copy the mapping from a previous year to the new year using the Select mapping from previous year drop down menu. This function allows you to copy the mapping of an old code, which has now been split, to one of the new ones. The mapping can then be adjusted in the usual way.
Note:
The Selecting your mapping from the previous year is only available if you have mapped the newly split code in the previous year. e.g. if I08 was unmapped in FY18/19 then there is no mapping to select in FY19/20.
