Enquiries

Enquiries is a powerful searching and sorting tool to help you locate transactions in RM Finance. You can enter whatever information you have about a transaction in a search query - for example, a cheque number, date range, approximate amount or budget code. You can sort the results by various fields. You can then display details of the selected transaction, and drill down for further information.

To find transactions

  1. From the top menu choose Enquiries.
    The Enquiries window is displayed. The left-hand pane displays search criteria; the right-hand pane lists the results.

  2. To search for a transaction, enter one or more criteria in the search fields.
    Note that for some fields a drop-down list lets you choose to enter either a single value (Is) or the lower and upper value for a range (Between)

    • Voucher no. 
    • Gross (enter transaction amount in pounds, to 2 d.p.)
    • Nett (enter transaction amount in pounds, to 2 d.p.)
    • VAT (enter transaction amount in pounds, to 2 d.p.)
    • Date (for details see Date entry formats
    • Period (1 - 12) 
    • Financial year (choose from the drop-down list)
    • Sales invoice no.
    • Reference 
    • Type (choose from the drop-down list of transaction types) 
    • Description (up to 60 characters)
    • PO no. 
    • Invoice no. 
    • Receipt no. 
    • Batch ref. 
    • Analysis code 
    • Analysis key 
    • Contact code
    • Contact key 
    • Budget code 
    • Budget heading

      If necessary you can reset the search by clicking Clear
      When you have entered your search criteria, click Search
      The search results are listed in the right-hand pane. You can use the page controls to browse through them. Click on the double arrows to go to the first or last entries.


  3. If you want to sort the results, click Sort  I.

    Select the Field you want to sort by and the Direction of sorting, and click Save.
  4. To Print out an enquiry report, select a transaction and click Print.
  5. To view details of a transaction, select it and click Detail view .
  6. Details.pngFor some fields in the transaction record you can drill down to view related information by clicking the report icon ReportIcon.png. This will give access to the reports for items including Analysis code, Budget code and Income Source/Supplier.

    These reports can also be found in the Records area.

    In Detail view you can use the Next and Previous buttons to browse through the record details.
