How to Process an Internal Charge
You can use the Internal charges screen to transfer actual costs between Budget and Analysis records. You can transfer on either a one-to-one or a one-to-many basis.
From the Transactions menu choose Internal charges.
- Under Budget to transfer from, choose the Budget account to make the transfer from, by typing in their name or code.
You can enter the first few characters and use to select the required account from the search results. - Once the budget account is selected, the £ Budget balance, £ Current actual and £ Actual if posted fields will be automatically populated.
- Choose the Analysis code that you want to use by typing in their name or code. You can enter the first few characters and use to select the required code from the search results. You will be offered the option to add a new analysis code by clicking Create New.
- By default today's Date is displayed. If required you can edit this entry to apply a different date to the transfer.
- Enter the Amount to be transferred. (Budget and analysis accounts always work on NETT amounts i.e. without VAT)
- Enter a short Reference and Description for this internal charge.
- To choose a Funding Stream if applicable, click and choose from the drop-down list.
- To choose a Cost Centre if applicable, click and choose from the drop-down list.
- Under Budget to transfer to, repeat stages 2 - 9 for the budget that the transfer should go to (with the exception of the date).
- Click Save line. The charge will appear under Charge lines.
- If required, repeat step 10 to add further internal charges.
- It is also possible to delete a selected charge line, by clicking the Delete icon.
- You can add attachments via the paperclip in the top right hand corner
- When you have finished, click Post.
- A confirmation pop-up is now displayed, click Cancel or Post as required.
If you select Post, a green message bar confirms that the posting was successful.
Import Internal Charges
- Follow details to import internal charges
- Once imported, you will see the charge in the search/process screen:
- From the Action menu, select to Edit, Delete or Post the charge.
- Posting the charge will remove it from the table.
- Delete will remove the charge without posting.
- Edit will allow you to edit the imported charge and then post changes. This action will remove the charge from the search/process screen.
Reversing an Internal Charge
To reverse an internal charge, you make a further internal charge posting for the opposite way round.

Hi - if possible, please could this screen shot/guidance be updated to include reference to the 'Type' field, and when to choose 'Expenditure' and when to choose 'income', for complete clarity? We have had some colleagues in schools not sure about this, resulting in some internal charges being posted backwards. We are working to reinforce understanding, and I think updating this note could help - especially when they look here for specific process guidance and their screen includes a field that isn't discussed in this update. Thank you.
